What's in the template
By signing off on the website, you confirm that it is essentially as agreed; therefore, it is worth having a written record. The template has five sections:
Subject: Contract, requirements specification, or functional specification, including version, scope, and test environment
Checklist: Features, Content, Design, Load Time, Accessibility, Redirects, Search Engines, Data Protection, Access, Documentation, Training
List of Deficiencies: Description with reference, whether significant or not, deadline, and resolution
Result: Accepted, Accepted with Reservations Regarding Defects, or Rejected
Signatures from both sides
Here's how to use the template
Check each item against the criteria you agreed upon in the specifications. For example, if the specifications list a specific measurement for the charging time, measure exactly that value. Describe defects in such a way that someone else can find them without having to ask for clarification: page, device, step.
There are three rules from Section 640 of the German Civil Code (BGB) you should be aware of. You cannot refuse acceptance due to minor defects. If the agency sets a reasonable deadline after completion and you do not refuse acceptance while citing at least one defect, the work is deemed accepted. And anyone who accepts the work despite being aware of a defect must reserve their rights in that regard. The acceptance report has specific fields for this purpose. This is not legal advice; in the event of a dispute, seek professional legal counsel.
Frequently Asked Questions
Who signs the acceptance report?
Both parties—that is, the client and the agency. Each party receives a copy.
Is it possible to accept a website in parts?
Yes, if you agree to that—for example, the design first and the finished website later. Enter the scope of the partial acceptance in Section 1.
